Digital Pen
Background
At the end of March, CM2000 became a full Channel Partner with Destiny Wireless, world leader in the provision of digital processing solutions utilising an ingenious new digital pen.
We have all long been familiar with the concept of the paperless office yet up until now making it a reality was problematic. Paper is cheaper to produce, lighter in weight and easier to read than a handheld computer. As such most organisations still rely heavily on pen and paper for recording information.
By enabling people to pass handwritten data to their computers, the new wireless digital ink pen and specially printed-paper offer a powerful time and money saving advantage. Taking an age old, convenient way of information gathering and enhancing it.
How does it work?
Users write with the Digital Pen on the specially printed paper (this is normal paper printed with a faint, unique pattern of dots). As the user writes, a tiny camera in the pen registers its movement across the surface of the paper. The camera takes up to 100 pictures per second of the position of the pen strokes in relation to the 'dot pattern' on the page. This creates a digital image of exactly what is written, time and date stamped. In addition to this, all pen data can be linked to an individual user, as each Digital Pen has a unique Pen ID.
The pen stroke data is stored as a series of map co-ordinates in the Digital Pen and because the pattern on the paper is unique, with an individual traceability code, the pen knows which pen strokes relate to each piece of paper. A command box, to send the data, is printed on each page or paper form. On completion of a form the user simply ticks the SEND box to transmit the data to the data processing center via a Bluetooth-enabled mobile phone. Alternatively the data can be transferred using a docking station attached by USB port to your PC or laptop.
Once the completed electronic form has reached the data processing centre it can be reviewed, edited, and verified. Optical Character Recognition is used to translate handwriting into text data which if required can then be exported into any mainstream software application. The information can then be viewed from within CallConfirmLive! and linked to Client and Carer records.
Benefits
The benefits of the digital pen system are significant:
- A digital pen solution can transfer handwritten notes and forms to your backoffice, as graphical images and fully loadable data files in less time than it will take for you to read this page
- The associated cost per form, for instantly receiving this image and uploading your database automatically, will be significantly less than the price of a postage stamp
- Recent case studies have shown that the cost of processing an A4 business form is around £1. In comparison the cost of processing an A4 business form with a digital pen solution is around 20p. Savings, in excess of 80% of costs, are being enjoyed today by many businesses
- Unlike laptops and handheld PCs everyone knows how to use pen and paper. The forms have the same look and feel as your existing ones. The only difference is users need to tick the SEND box to transmit the data on the forms
